How to have effective teleconferences

When a regular, in-person meeting isn't possible and the topic isn't one that is suited to or needs all the features of web conferencing, consider making conference calls. Teleconferences allow two or more people to meet, collaborate, and discuss orders of business over the phone. It's convenient, easy to use, and allows for effective conferencing across distance.

Having an effective, productive teleconference isn't difficult, but there are some tips to keep in mind in order to ensure that you and your colleagues and/or clients get the most of the experience. Planning ahead can help your call avoid straying from goals or a set agenda.

Planning steps include sending out the phone and pin number for the conference, and making the agenda. Also, notify those attending the call about what type of preparation they need to do in order to conference effectively.

Select a location where your audio conference won't be disturbed. Background noise can hinder listeners' abilities to hear the call and your information. Encourage teleconferencing participants to use the mute option on their phone when they aren't speaking to keep this from being a problem.

Conference calls often require collaboration, so seek input. If you're moderating the call, invite others to speak in order to establish a level of interaction. Following up after the conference call with minutes of the meeting or a summary of decisions keeps everyone apprised of what happened. Audio conferencing can be a cost-effective solution to your meeting needs when done efficiently.
