VoIP, which stands for Voice over Internet Protocol, is
one of the newest advancements in audio communications
technology. Simply put, VoIP service works like this. Audio
signals are taken and converted to digital signals,
transmitted over the Internet, then reassembled into audible
voice signals the recipient can hear.
The recipient may
either receive the signal over a phone or directly through
their computer depending on the service and equipment used.
When you integrate this voice technology with web
conferencing services, businesses benefit with a much more
innovate, cost effective and flexible solution.
While VoIP services may not be appropriate for everyone’s
web conferencing needs, there are several distinct
advantages gained by incorporating VoIP with your web
conference software. These include:
- Reduced operating costs -- VoIP is software
based rather than hardware based, therefore it is much
easier and less expensive to make alterations to the phone
system and perform regular maintenance. Also, because VoIP
converts audio voice signals and transmits them over the
Internet, the cost of each phone call is significantly
less. If you make a lot of phone calls, you could save a
large amount of money over your current phone system.
- Provides much greater flexibility -- With VoIP,
voice transmissions are converted to digital signals which
are transmitted over the Internet as any other data.
Because of this, web conferences become much more
productive with data sharing capabilities occurring along
side of audio communication.
- More easily scalable -- With VoIP technology,
it is easy to start out with a basic IP phone system and
add to it as you grow. You will no longer have scrap old
telephone equipment and replace it as your companies needs
expand.
- Less complicated infrastructure -- By utilizing
VoIP instead of a traditional phone provider for your web
conferences, you eliminate the need for a separate network
just for your phone system. VoIP works off of your
Internet architecture.
One important thing to remember though is that you don’t
necessarily have to scrap all of your telephone equipment
right away. The beauty of VoIP is that it can easily be
incorporated into your existing phone system to work
alongside it. If you are seriously considering incorporating
VoIP into your web conferencing meetings, you could start by
initially incorporating VoIP technology into one department
and slowly expand from there to ease into the transition.
